This policy explains what information the Rotary Club of Patan (“we”, “the club”) may collect through rotaryclubpatan.org.np, why, and the choices you have. We aim to collect only what we need and to be open about it.

2. Information you give us

Pledges and donations: your name, contact details and pledge information.
Messages and enquiries: your name, email or phone number and what you write to us, for example when asking about membership, volunteering or our projects.
Event or programme registration: the details a registration form asks for.
Members: login details and the contact information members provide for the club directory.

3. Information collected automatically

Like most websites, our site and the services it uses may automatically collect:

Technical data: IP address, browser and device type, operating system and approximate location (city or country).
Usage data: pages visited, time spent, the site that referred you, and links clicked.
Security logs: login attempts and suspicious activity, recorded to protect the site.

4. Cookies and similar technologies

Cookies are small files stored by your browser. We may use:

Essential cookies: needed for login, security and basic site functions.
Preference cookies: to remember choices such as display settings.
Analytics cookies: to understand, in aggregate, how visitors use the site so we can improve it (for example, Google Analytics or a similar service).

We use your information only for the purpose it was collected, or a closely related one, and with your consent where required.

6. Sharing

We do not sell or rent personal information, and we do not share it for others’ marketing. We may share it only:

with service providers that help run the site (for example hosting, form handling, email, analytics and security), which may store data outside Nepal;
with Rotary International or District 3292 where needed for club administration; or
where required by law.

7. Keeping and protecting information

We keep personal information only as long as needed for the purposes above or as required by law, then delete or anonymise it. We use reasonable safeguards, including restricted member-only pages, secure connections (HTTPS), security monitoring and regular backups. No website can be completely secure, so please email us if you believe information has been misused.

8. Your choices and rights

You may ask us to see, correct or delete the personal information we hold about you, or withdraw consent you have given, by emailing rwm@rotaryclubpatan.org.np. We will respond within a reasonable time.

9. Children

This website is intended for adults. We do not knowingly collect personal information from children online. Information about scholarship students or youth programmes is handled offline with the consent of parents, guardians or schools.

10. Law

We handle personal information in line with Nepal’s Individual Privacy Act, 2075 (2018), and follow good practice common across South Asia.

11. Changes to this policy

We may update this policy, for example when we add new features such as analytics. The date at the top shows the latest version.
